Data Protection Complaints Procedure

At Premier Admin Services, trust is the whole job and we take that responsibility seriously, including how we handle personal information.
If you ever feel we’ve got something wrong in how we’ve collected, used, stored, shared or otherwise handled your personal information, we want to know. This page explains how to raise it with us and what happens next.
How to Make a Complaint
Email us directly at zoe@premieradminservices.com.
To help us look into it quickly, please include:
•Your name
•Your contact details
•What your complaint is about
•Any relevant dates, emails, forms or correspondence
•What outcome you’re hoping for, if you know
You don’t need to use the words “data protection complaint” for us to treat it as one. If what you’re raising is about how we’ve handled your personal information, we’ll deal with it under this procedure.
Email is our preferred route because it keeps a clear, secure record for both of us, but we will accept and act on a data protection complaint however it’s received.
If You Reach Out Through Social Media
Please don’t share personal or sensitive information in public comments or social media messages.
If you get in touch with us on social media about a data protection concern, we’ll ask you to email us instead, so we can look into it securely and properly.
Complaining on Behalf of Someone Else
If you’re raising a complaint for another person, we may need evidence that you’re authorised to act for them. For example, a signed letter of authority, power of attorney, or other suitable confirmation.
We won’t share someone’s personal information with a third party unless we’re satisfied they have the right to act on that person’s behalf.
Proof of Identity
If we have reasonable doubts about who we’re speaking with, we may ask for proof of identity before responding. We’ll only ever ask for what’s necessary and proportionate.
What Happens Next
1. We acknowledge it
We’ll acknowledge your complaint within 30 days of receiving it.
2. We investigate
We’ll look into it without undue delay. That might mean reviewing our records, checking the relevant systems, speaking with anyone involved, and checking our actions against our privacy notice, policies and data protection obligations.
3. We keep you posted
If your complaint is going to take a little longer to resolve, we’ll let you know how things are progressing rather than leaving you in the dark.
4. We tell you the outcome
Once we’ve finished investigating, we’ll explain what we found and what action we’ve taken, where relevant.
If You’re Still Not Happy
Get back in touch with us and we’ll consider whether a further review is needed.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator.
